Accounting Manager

Primary Responsibilities
Working closely with the practice manager and business owner, responsibilities include:
- Accounts payable and accounts receivable (AP and AR)
- Asset tracking
- Bank account and credit card account reconciliations
- Budgeting
- Business insurance administration
- Cash flow and reserves tracking
- Financial analysis, projections, and reporting
- Management of lenders; debt schedule maintenance
- Payroll
- PCORI, use and sales, property taxes
- Record-keeping and storage
- Vendor oversight, contracts, and W9s
- Year-end closing: 1099s, fringe benefits, W2s, CPA documentation
- Coordination with practice owner, Practice Manager, and CPA (as needed)
- Policy and practice problem-solving and recommendations; oversee internal controls

Basic Qualifications
To be successful in this role, candidates should be able to effectively follow well-established best practices in accordance with GAAP—following defined accounting policies, and internal controls. Additional qualifications include the following:
- Bachelor degree in accounting or finance (or related discipline) with 3-5 years of experience OR equivalent professional work experience
- Proficiency in QuickBooks, Microsoft Office (Word and Excel), vendor portals, internet research, and email

Dental Receptionist

As one of our front office rock-stars, you will be responsible for administering the day-to-day activities of the dental front desk and office, including but not limited to: maintenance of the records of patients, scheduling of patients, accounts receivable, and maintaining appearance and order of dental office. Additional duties include the following:
- Administer day-to-day operations of dental office
- Open and close dental office according to office protocol
- Review the office for a neat, professional appearance and make necessary changes
- Check the daily schedule for accuracy and post it in all treatment rooms
- Answer and respond to telephone calls with professionalism
- Ensure that HIPAA Notice of Privacy Practices Notice is on display
- Ensure all COVID-19 related safety protocols are followed, including patient screening, disinfecting, and PPE requirements
- Greet and welcome patients and visitors to the practice
- Check in patients according to office protocol, verifying and updating patient information
- Confirm the next day’s appointments according to protocol and patient preferences
- Make follow-up appointments as needed
- Gather and accurately record insurance information from patients
- Record chart entries from phone or in-person conversations when appropriate
- See that records are stored securely and handled in compliance with HIPAA privacy and security regulations
- Assure that every patient’s HIPAA forms and consent forms are signed and up to date.
- Accurately file patient information
- Help to update patient records will up-to-date insurance information
- Organize supporting materials for claim forms, such as radiographs or written narratives, as directed by doctor
Basic Qualifications
- High school diploma or equivalent
- Legible handwriting
- Proficiency using MS Excel, MS Word, and e-mail
Interpersonal Skills & Abilities
- Good interpersonal skills to maintain effective rapport with patients, dentists, other staff members and community
- Effective verbal skills
- Team player
- Able to adapt to office policy improvements (office is constantly striving for improved customer care/service)
Customer service or patient relations experience
- Quick response/accurate data entry
- Able to communicate all concerns to the Practice Manager

- Experience using the Eaglesoft software application for all scheduling and charting activities
- Professional office experience
